Smart Fields

Tag once. Filled everywhere.

Smart-tag a text field — every other field with the same tag auto-fills the second the signer types. Pair with conditional visibility so downstream fields only appear when they need to. One template handles every variant.

1 template handles every variant

One smart template replaces ten static ones.

Smart Fields collapse the matrix of contract variants into a single intelligent document — type once, propagate everywhere, reveal only what's relevant.

Auto-fill by tag.

Tag a field with {{company}} and every other {{company}} field — page 1, page 7, the exhibit — fills the moment the signer types.

Conditional show/hide.

Show the LLC clauses only when Entity Type = LLC. Hide spouse fields when Marital Status = Single. The doc shapes itself.

One template, every variant.

Stop maintaining T4 + T4A + T5 + T5018 as four different files. One template, three rules, every variant covered.

For the sender

Drop a tag, attach a rule.

Open any field's properties — pick a tag from the list or type a new one. Add a conditional rule with the visual builder (show this field when Entity Type = LLC). Save. Every instance of that tag is now linked.

For the signer

Type once, watch the rest fill.

The signer types their company name on page 1 — it flows to page 4, the exhibit, and the cert footer instantly. A wax pulse confirms each auto-fill so they trust what's happening.

Field properties + rules

Pick a tag from the dropdown, set a conditional rule with the visual builder, see every linked field in the side rail. No formula language, no scripting — point and click.

Rule library per template.

Reorder, duplicate, or disable rules from the side rail. Each rule shows the page it lives on and the fields it controls so you never lose track.

Tag scope you control.

Default tags scope per-signer so a counterparty's name never leaks into the sender's field. Flip a scope toggle to share tags across both signers when needed.

Preview the variant.

Toggle conditional rules in the preview tab to see exactly what a signer who picks "LLC" or "Corp" will see — no test sends to your own inbox.

Signer experience

Type less, finish faster

A 9-page MSA with the company name in 6 places becomes one typed entry. Conditional sections only appear when relevant — signers never wade through clauses that don't apply to them.

Wax pulse confirmation.

Every auto-filled field flashes in wax-tint for 600ms so the signer sees what just happened. No magic, no mistrust.

Reveal toasts.

When conditional fields appear, a fountain-tint "+ 2 fields appeared" toast slides in from the bottom. The doc never silently grows under their cursor.

Mobile-first input.

Auto-fill survives the keyboard switching between numeric, alpha, and signature on mobile. The 2x magnifier still kicks in over the conditional fields.

Ideal use cases

Where Smart Fields earn their keep.

Anywhere the same string repeats across pages, or where the doc changes shape based on a single signer choice.

Tax forms (T4 / T4A / T5)

One Canadian tax template handles T4, T4A, T5, and T5018 — Entity Type toggles which page-2 clauses appear, SIN auto-fills across every disclosure.

Corporate setup

LLC vs Corp vs Sole Prop. Director clauses appear for corporations, member clauses for LLCs, sole-prop disclaimers for everyone else.

Multi-page MSAs

Counterparty name shows up 14 times in a 22-page MSA. Smart Fields makes that one typed entry — and one place to correct a typo.

Multi-policy insurance

Auto, home, umbrella, watercraft. Coverage modules reveal based on the policies the signer ticks; deductibles auto-fill from a single number.

KYC questionnaires

Politically exposed? Show source-of-funds. Non-resident? Show withholding tax acknowledgement. The form follows the answers.

Onboarding intake

Employee number, role, salary, manager — typed once into the employment letter, mirrored into the IT request, equipment list, and parking form.

Frequently asked

Questions, answered.

Are tags scoped per signer or per envelope?

Per signer by default — your {{company}} field and the counterparty's {{company}} field don't collide, even when they're on the same page. Flip the scope toggle on any tag to make it shared across all signers (useful for envelope-level data like a deal ID or property address). You set the scope when you create the tag and can change it later without losing the bindings.

How complex can conditional rules get?

AND + OR combinations across any number of upstream fields, with nesting two levels deep. Show clause 4.2 when (Entity = LLC AND Province = QC) OR (Entity = Corp AND Revenue > 5M). The rule builder is visual — no formula language, no scripting. Most workflows top out at single conditions; the nesting is there for edge-cases without forcing a code escape hatch.

Are conditionally-shown fields legally binding?

Yes — the audit certificate records every conditional reveal as a timestamped event ('Field Spouse SIN became visible when Marital Status was set to Married'). The signed PDF captures the final visible state. Hidden fields are absent from the output, not invisibly stamped — so what the signer saw is exactly what they signed. PIPEDA + Quebec Law 25 aligned.

Does the auto-fill work on mobile?

Yes. The auto-fill triggers on input blur on mobile (not every keystroke) to avoid jank while the soft keyboard is animating. The wax-tint confirmation pulse is shorter on mobile (300ms vs 600ms) so it doesn't feel laggy under fingers. The 2x magnifier still works over conditional fields once they appear.

Can I do calculated fields? Like sum or multiply?

Not in v1. Smart Fields v1 handles text/number propagation + conditional visibility, not arithmetic. Calculated fields (Total = Subtotal × 1.13 for HST) are on the v2 roadmap — Q3 2026 target. If you need them today, use a Bulk Send with a CSV that's pre-calculated.

How do Smart Fields interact with Templates?

Templates can save Smart Field bindings + conditional rules as part of the template — instantiate the template and the rules come along. You can override a single rule on a per-envelope basis without forking the template, which is useful for one-off contract variations. Bulk Send respects the rules row-by-row.

Does this slow down long documents?

No. The propagation runs entirely client-side via a tag index built when the doc loads — a 50-page MSA with 200 tagged fields stays under 16ms per keystroke. Conditional visibility is a single boolean check per rule, so reveals are instant even on phones with low-end CPUs.

You won't find this anywhere else?

Correct. Most platforms force you to maintain separate templates for each variant, or push you into their formula language. Ink. Smart Fields is point-and-click, propagation runs in the browser, and conditional visibility is a first-class field property — not a paid add-on or an enterprise SKU. It's the headline reason Solo customers pick Ink.
